ATTENDANCE
Trustees: Brenda Davis, Chair; Jerry Bancroft; Bob Gutzman; Al Kesselheim; Molly Richardson, Foundation Board; and Alice Meister, Director. Guest: James Goehrung, City Superintendent of Facilities and Public Lands.
CALL TO ORDER
The meeting was called to order by Chair Davis at 4:12 p.m.
APPROVAL OF MINUTES
The minutes of the May 13th meeting were approved as submitted.
ITEM FOR DISCUSSION: AIA CONTRACT WITH OVERLAND PARTNERS
Chair Davis turned the meeting over to Bancroft, who gave an overview of the negotiations with Overland Partners to date. Bancroft, Davis, Goehrung, and Meister have had three meetings with Mark Headley, principal architect at Overland Partners. Overland has suggested an overall fee of 12% with additional services such as: program verification; fundraising assistance; community presentations and public integration; LEED certification; furniture and equipment; and geotechnical services. Reimbursables include such items as travel and copying and are in addition to the above-listed services. Discussion ensued on the additional services needed by the Library; it was agreed that some fundraising assistance would be needed but most listed in the contract would not fit with the capital campaign schedule. However, visuals will be needed as soon as possible for the capital campaign. LEED certification will need to be decided within the next four months. It was suggested that David
Smith be contracted with separately, since he should be the Library’s advocate and not the architect’s advocate. Meister will send a message to the various library discussion lists to determine what other libraries are paying for the basic architectural services Overland is proposing to offer our Library: general and library design; civil and structural engineering; mechanical and electrical engineering; landscape and site design; interior design; and cost estimation. After discussion, the Trustees decided to negotiate for a lesser percentage than 12% and will reconvene if Overland is not willing to do so.

The meeting was adjourned at 5:30 p.m. The next meeting will be Thursday, June 20th , at 4:00 p.m. in the Library Director’s Office.
